This is a proposed solution, with SAGE integration still to be validated in a pilot. Receiving PDF invoices and transferring their data into accounting software combines document reading, business rules, and a sensitive operation. We approach this as a flow that extracts and validates first, then prepares a reviewable handoff. The article describes an implementation method rather than a standard integration with every SAGE version or measured savings.
Agree on the accounting contract
Before OCR, we identify the system version, import fields, vendors, taxes, currencies, and owners. We request representative invoices, credit notes, and incomplete documents. The available interface might be an API, an import file, or another authorized mechanism. The pilot confirms that choice, permissions, and the retention policy for original documents.
Preserve documents and provenance
Intake records the file, source, time, and an identity that detects repeated submissions. Type and size are checked, and document content is treated as data rather than agent instructions. The extractor obtains text and fields while retaining references to the pages or regions supporting each value. If the PDF has no useful text, OCR is evaluated; scan quality determines the necessary review.
Validate before preparing a posting
A shared schema captures vendor, invoice number, date, subtotal, taxes, total, currency, and line items where needed. Rules check arithmetic, mandatory fields, vendor identification, and possible duplicates. A doubtful result retains its evidence and rejection reason. The model should not invent a number to complete a schema.
Review focuses on exceptions: discrepancies, new vendors, corrected documents, and tax situations outside approved rules. Automating reading does not grant general accounting judgment. Rules must be agreed with the responsible team and tested against its documents.
Integrate with traceability
Output is first generated in simulation mode. The submission step records which document produced which result and prevents repeated operations when a job is rerun. An error response is distinguished from incomplete acceptance. Reconciliation checks that submitted and received records match and that the original PDF remains retrievable.
A useful pilot delivers validated examples, an exception queue, an integration format, and review metrics. The connection is adapted to the SAGE version and approved format. We validate the pilot before activating operations, and only agreed document families move to automatic execution.
